How to Show Alternate Units on Invoices

Overview:

This feature allows users to show both the primary and alternate units for items on invoices. It helps businesses clearly communicate item quantities in multiple units (e.g., 10 Kg (10,000 Grams)) to customers. The alternate unit details appear in the item description and are visible in the invoice preview for new invoices created after this feature is enabled.

Prerequisites:

  • Alternate unit must be added while creating or editing an item

  • Only available for new invoices created after enabling the setting

  • Setup and configuration available on both Web and Mobile App

Step-by-step Instructions:

Step 1: Enable Alternate Units in Invoice Settings

  • Open the myBillBook Mobile App

  • Go to Settings β†’ Invoice Settings β†’ Full Invoice Settings

  • Turn ON the toggle for β€œShow Alternate Unit on Invoice”

Step 2: Configure Alternate Units for Items

  • Navigate to Items

  • Select or create an item

  • Navigate to the Basic Details section

  • Add the Primary Unit (e.g., Kilogram)

  • Navigate to Stock Details section and add the Alternate Unit (e.g., Grams)

  • Enter the Conversion Rate (e.g., 1 Kilogram = 1000 Grams)

  • Save the item details

Step 3: Create New Invoice to View Alternate Units

  • Go to the Invoicing module on Mobile App

  • Create a New Invoice

  • Add products with alternate unit configuration

  • The item line will now show converted alternate unit in the description

    • Example: Rice – 5 Kg (5,000 Grams)
